Questions to Ask During an EMR Demo for an East African Clinic

An electronic medical records (EMR) demo should help your team evaluate how a proposed system would fit your clinic, not simply introduce a long list of features. Bring your current workflows, constraints and priorities so the provider can show what is available and explain what would require additional work.

For clinics and healthcare organizations in Kenya and the wider East African region, this guide offers questions to discuss with any EMR provider. It is not a claim that every capability listed is available in AfyaHub or any other platform.

1. Can you demonstrate our everyday workflow?

Ask the provider to walk through a fictional patient journey from registration to consultation, any relevant tests or medications, and billing. Involve the staff who would use the system. Which steps are supported today? Which would require configuration, an integration or a manual process?

Use synthetic demonstration records, not identifiable patient information.

2. What happens when connectivity is interrupted?

Ask which functions need an active connection and whether any offline workflow is available for your proposed deployment. Request a demonstration of what staff can do during an interruption and what happens when the connection returns. How are conflicting changes handled, and what equipment or connectivity assumptions does the implementation rely on?

3. Which integrations are available now?

List the systems your clinic needs to work with, such as laboratory, billing or reporting tools. Ask which integrations are deployed, which are planned and which would need custom work. If interoperability standards such as FHIR or HL7 are discussed, ask the provider to explain the specific exchange supported and demonstrate a relevant example. A standards label alone does not establish that a particular connection is ready.

4. How are staff access and activity records managed?

Ask how roles are configured, who can change permissions and how staff access is removed when someone leaves. Request a demonstration of available activity records and administrative controls. Have your responsible team review the proposed access model before deployment.

5. How will existing records be handled?

Describe your current paper records or software and ask what migration is included. Who cleans and checks the data? What formats can be imported or exported? How would you retrieve records if you changed providers? Confirm responsibilities and any separate fees in the proposal.

6. What reporting can you demonstrate?

Bring examples of the operational reports your team needs, without patient identifiers. Ask the provider to show available reports and explain any configuration work. For analytics or AI-related functions, ask what is currently available, how outputs are reviewed and what limitations the team needs to understand.

7. What does implementation involve?

Discuss configuration, equipment, migration, staff training, testing and go-live support. Ask for an implementation plan that identifies responsibilities, dependencies and milestones. Distinguish proposed target dates from agreed commitments.

8. What support is included?

Ask about support hours, contact channels, escalation procedures and response commitments. Who will train new staff? Are updates included? What assistance is available if an operational issue interrupts your clinic's work?

9. What documentation should our team review?

Request the provider's current security, data-handling, registration and certification documentation, where relevant. Ask what each document covers and whether it applies to your proposed deployment. Have your responsible technical and compliance advisers assess the documents and agreements rather than treating a demo or badge as proof of suitability.

10. What is the full cost of the proposed deployment?

Request an itemized proposal covering subscriptions or licenses, setup, migration, integrations, training, support and any equipment needs. Ask what could change the price, how renewals work and which services are optional. Compare costs against the agreed scope, not just an introductory price.

Prepare a short demo brief

Before the meeting, summarize your country, facility type, current systems, connectivity constraints, priority workflows and intended timeline. Choose a few tasks that the provider should demonstrate and record which were shown, which were described and which remain unconfirmed.
